How thermal transfer printing works

Thermal transfer printers use heat from the print head to melt ink from a ribbon onto the label surface. Unlike direct thermal labels, which rely on a heat-reactive coating, thermal transfer labels carry no ink of their own: the ribbon is the consumable. This ribbon-to-label transfer produces sharp barcodes and text on paper, polypropylene, polyester, and vinyl substrates, and the printed image is highly resistant to fading, moisture, heat, and abrasion.

Wax, wax-resin, and resin ribbons

Ribbon type determines how durable the printed image will be. Wax ribbons are the most economical choice for plain paper labels in indoor, low-abrasion environments such as general shipping and warehouse bin labels. Wax-resin ribbons offer better smear resistance and are suited to semi-gloss and synthetic label stocks. Resin ribbons produce a fully chemical- and UV-resistant print on polyester or polypropylene labels, making them the standard for outdoor asset tags, chemical drum labels, medical device labels, and any application requiring a lifespan of several years.

Thermal transfer vs direct thermal

Direct thermal labels are simpler and lower cost per roll, but the heat-reactive coating fades over months when exposed to sunlight, heat, or chemicals. Thermal transfer labels, paired with the correct ribbon, remain legible for years under the same conditions. Choose thermal transfer when labels must survive outdoor exposure, freezer storage, or contact with oils and solvents.
